Offering our patients multiple payment options is crucial for maintaining the survival of our dental clinic. This payment policy will allow us to define the payment methods we will offer our patients.
Nowadays, patients want to have several payment methods to choose the one that suits them best. As a dental clinic, it’s beneficial to offer these options, as it facilitates the closure and acceptance of treatments.
When establishing our payment policy, we must consider the range of estimates provided at the clinic to determine the payment options. The 3 most commonly used payment options are:
Per Treatment:
This payment method is ideal for patients who require low-cost treatments. The patient will pay for the treatment as it progresses, or in a single payment.
The patient pays for the treatment at the clinic in cash or by card, paying for the treatment performed at each appointment.
For high-cost treatments, an advance payment is required for the total treatment amount, and the remaining balance is paid until the treatment completion date. This date is agreed upon with the patient once the full treatment amount is settled.
For example, in dental implant treatments, the patient must wait three months for osteointegration, which gives the patient time to pay for the treatment and settle the amount before the agreed date. This works very well for patients, especially with full arches, as the cost is higher.
Early Payment:
In this case, the patient pays the total cost of the treatment at the beginning. Patients choose this option as they won’t have to make additional payments at the clinic.
With this payment method, the total amount received from the patient is signed off, along with the treatment estimate, and the appointments are scheduled. Both parties sign these documents to formalize the agreement.
This is important for the peace of mind and trust of our patients.
As with early payment, there may be changes that result in an increase in the treatment cost. In such cases, the patient can either pay the difference at the clinic or increase the financed amount (this possibility should be included in the commitment document).
SUMMARY:
In all payment methods, a document is created that records the treatment cost and the payments made. This document is signed by both the patient and the person receiving the payment, and a receipt is provided for each payment.
It is essential to provide the patient with a physical estimate, which they sign, and the signed copy is added to their physical file. A copy is also given to the patient. This ensures that the treatment plan and agreed costs are clearly outlined.
IMPORTANT: These documents are a priority and must be included in all of our clinical files for future clarification and patient security.
